A common confusion: Notion bills per user, and "guests" count differently. Guests on Plus = capped at 100. Cross that and you need Business.

Plus vs Business — Where the Jump Pays Off

The leap from Plus to Business ($10 → $18/seat) is the most-debated Notion upgrade. The reasons to make it:

  • - SAML SSO. Required by most companies above ~50 employees for security policy.
  • Advanced page analytics. See which pages your team actually opens. Huge for ops/PM teams cleaning up info architecture.
  • Private teamspaces. Limit access to sensitive workspaces (HR, finance, legal). On Plus you only have public/closed.
  • Bulk PDF export. Useful for audit and compliance handoffs.
  • 90-day page history vs 30-day. Catches more "who deleted this" recovery cases.

What it doesn't give you that you might think it does: API rate limits stay the same, AI is still a separate $10 add-on, and you still don't get audit logs (that's Enterprise).

From my audits, the cleanest Plus→Business trigger is team size 25+. Below that, Plus + SSO via a third-party tool (or accepting Google auth as the limit) is usually fine.

The Notion AI buy decision:

  • - Worth it if your team lives in Notion (4+ hours/day average) and you have 50+ pages of accumulated knowledge worth searching. The workspace context AI gives is genuinely high-value.
  • Skip it if your team uses Notion for project management only with shallow content, or if you've already deployed Glean / a broader AI tool that searches Notion via integration.

From my audits, teams under 15 people get questionable ROI from Notion AI. Teams 30+ with deep wikis get strong ROI.

Hidden Notion Costs

1. Guest seat creep. Plus caps at 100 guests. Once you cross, you either pay for Business ($18/seat) or convert guests to members (also paid). Audit guests quarterly.

2. Storage on file-heavy workspaces. Plus has 5GB per upload limit. Business is unlimited. If your team uploads videos, this forces an upgrade.

3. Integration / automation. Native Notion automations are limited. Real automation requires Zapier ($30-$100/mo), Make.com ($10-$30/mo), or n8n self-hosted. Plan $20-$200/mo on top.

4. Notion site publishing custom domain. Free with notion.site subdomain. Custom domain on Plus+. SEO on notion.site domains is weak — if you want public-facing pages to rank, you need proper hosting and a real CMS.

5. Backup tools. Native backup is page history (30-90 days depending on tier). For true backup/restore you need third-party (Backupery, RewindIO) at $5-$30/mo.

6. Migration cost off Notion. If you ever leave, migrating to Confluence, Coda, or Google Docs runs $5,000-$40,000 of consultant time depending on workspace complexity. Notion's database structure doesn't map cleanly to anything else.

Total ownership cost for a 25-person team: Notion Business $450/mo + Notion AI $250/mo + Zapier $50/mo + backup $20/mo = $770/mo. Budget the $770, not just the $450.
