1. Who we are
Project Cost Estimator is operated by Scopebit (projectcostestimator.com). We provide a free web project cost estimation tool. For privacy questions, contact us at hello@projectcostestimator.com.
2. What data we collect
What we hold depends on what you use:
- Estimates: The inputs you enter in the calculator (project type, features, market, budget) are processed in your browser. They reach our servers only when you save an estimate to an account, request a PDF, or share a link.
- Email address: Only when you type it in: to receive an estimate by email, to request quotes, to buy a report or an expert review, to get an API key, or to sign in.
- Account: Signing in works with a link sent to your email; there is no password. We keep your email address, when you signed in, the estimates you saved, and the PayPal subscription id if you link a plan.
- Quote requests: Your name, email, website or company, the project details you type, and the estimate they belong to. See Section 4 for who receives them.
- Payments: Handled entirely by PayPal. We store the PayPal order or subscription id, the amount and the email PayPal reports for the payment; never card numbers or PayPal credentials.
- Page-view log: For each page served we store the path, the referring site, the country and region our host's edge reports, a browser and device tag, and a one-way hash of the IP address (the address itself is not kept). Sign-in links, licence keys and request details are stripped from this log.
- Hosting logs: Standard request logs at our host (IP address, browser, URL) kept for up to 30 days for security and abuse prevention.
3. How we use your data
- To run the estimator, your account and your saved estimates
- To send what you asked for: an estimate, a report, a sign-in link, a receipt, a reply from an agency
- To forward a quote request to matching agencies and to follow up on it with you and with them
- If you asked for an estimate by email, to send three follow-up emails about it over the next nine days; each carries an unsubscribe link. Quote requests get no newsletter
- To understand aggregate usage and improve the estimates
- To detect and prevent abuse
We do not sell your data and we do not use it for advertising. It reaches third parties only as described in Section 4.
4. Who else sees it
- Agencies you request quotes from. A quote request goes to up to five listed agencies that match your project. They receive your brief (name, project details, estimate, website if you gave one). Their first message reaches you through us, from our address, with the agency's email as the reply-to; your email address reaches an agency when you answer that message. Briefs are given to quote on; a listing that uses one for anything else is removed.
- Google Analytics 4 — usage analytics, on by default; see Section 5 for how to stop it. No advertising features are enabled. Google's opt-out add-on also works.
- PostHog — product analytics (which steps of the calculator are used). Loads only after you accept analytics in the cookie bar; no email address is sent to it.
- Ahrefs Web Analytics — cookieless page-view counting; it sets nothing in your browser.
- Resend — sends our emails (sign-in links, receipts, briefs, follow-ups) and holds the addresses they went to.
- Supabase — our database and file storage: leads, quote requests, sales, accounts, saved estimates and the page-view log live there.
- PayPal — payments and subscriptions, under PayPal's Privacy Statement.
- Vercel — hosting and edge delivery; keeps standard request logs.
5. Cookies & consent
Google Analytics runs by default. If you press Reject in the cookie bar, it stops on that page and is not started again on any later visit from the same browser. PostHog starts only after you press Accept. Advertising storage is always off: the site runs no ads.
What the site stores in your browser:
- Needed to work: your consent choice (
pce_cookie_consent), a pce_consent cookie that only records that a choice was made so the bar is not shown again, wizard progress, saved estimates on this device, and purchase unlock tokens. Signed in: a pce_session cookie (30 days) and a pce_signed_in hint. - Analytics: Google Analytics cookies (
_ga, _ga_*) unless rejected; PostHog storage after Accept. - Marketing: none. The category exists in the bar for the day it is needed; nothing is set today.
To change your choice, clear this site's data in your browser and the bar appears again. Your choice itself stays in your browser; the server only sees the pce_consent flag.
6. Data retention
We do not run automatic deletion yet. Emails, quote requests, accounts, saved estimates and the page-view log stay until you ask us to delete them; sales records are kept as long as tax law requires. Analytics data is retained per Google Analytics default (14 months). To delete anything, email hello@projectcostestimator.com; we do it within 30 days.
7. Your rights (GDPR / CCPA)
If you are in the EU, EEA, or California, you have the right to:
- Access the personal data we hold about you
- Request correction or deletion of your data
- Object to or restrict processing
- Data portability
- Withdraw consent at any time

8. Security
All data in transit is encrypted via TLS. We apply industry-standard security practices. No method of transmission over the internet is 100% secure; we cannot guarantee absolute security.
9. Children
This service is not directed at children under 16. We do not knowingly collect data from children.
10. Changes to this policy
We may update this Privacy Policy from time to time. The date at the top of this page reflects the latest revision. Continued use of the service after changes constitutes acceptance of the updated policy.
